Reason for Recruitment: To enhance the capabilities of the Administrative - HR - Accounting department, aiming for business expansion in the Vietnamese market.
Job Description
1. Accounting:
- Manage accounting books: Track and record the company’s financial transactions.
- Prepare financial reports: Prepare and submit periodic financial reports (monthly, quarterly, annually).
- Manage receipts and expenditures: Monitor and check receipts and expenditures to ensure reasonableness, validity, and accuracy.
- Manage invoices and documents: Check and store accounting invoices and documents.
- Check and reconcile debts: Track and reconcile receivables and payables.
- Support auditing: Assist in internal and external audits as needed.
- Communicate with the accounting firm: Coordinate with the accounting management company to carry out tasks as required.
- Advise the General Director on accounting, tax-related issues, etc.
Administrative - HR:
- Manage personnel records: Store and update employee records, labor contracts, termination contracts, forms.
- Recruitment and training: Organize recruitment seminars at universities; participate in job fairs; post job advertisements; carry out the recruitment process, organize interviews, onboarding, and training of new employees; train on corporate culture and integrity awareness.
- Attendance and payroll: Manage attendance, calculate salaries, bonuses, and employee benefits; report and manage overtime working hour; schedule holidays during the year.
- Social, health, unemployment, and voluntary insurance procedures: Report employee increases and decreases.
- Manage stationery, equipment, and medical supplies: Order, control, and distribute stationery, equipment, create employee cards, and name cards.
- Organize internal events: Coordinate to organize internal company events and activities.
- Legal: Create, amend, and update internal documents (labor regulations, rules, policies, etc.).
- Support business trips: Handle visa applications, book flights, travel insurance, and hotel reservations.
- Support Japanese language classes: Monitor, manage progress, and handle arising issues; support JLPT registration.
- Manage company’s Homepage and Fanpage: Collect information, images, write articles, and post.
- Handle other administrative tasks: Provide documents for internal control; support other administrative tasks as requested by the Board of Directors.
Job Requirements
- University degree in Accounting, Finance, Human Resource Management, or related fields
- At least 3 years of experience in Administrative - HR and Accounting positions
- Japanese proficiency of N3 or higher
- Good English communication skills
- Proficiency in accounting and office software (Excel, Word, PowerPoint)
- Good communication and time management skills
- Ability to work independently and in teams
- Organizational, job management, and problem-solving skills
- Persistent, eager to learn, meticulous, careful, honest; sharp, decisive, responsible; analytical thinking
- Attitude: Flexible, open to change, responsible, progressive, transparent, able to handle high work pressure
- Preferably with experience working in construction companies (contract drafting, construction law, customer interaction, etc.)
